1st Week

1- Request list of scholastically eligible students from registrar, advisor.

2- Compose letter from dean to parents and get dean's approval.

3- Meet with chapter officers to choose important dates for candidate process.

4- Reserve rooms for ALL of these functions.

5- Notify Headquarters, District Director(s), advisors, dean, faculty, and alumni of initiation date

2nd Week

1- Obtain list of scholastically eligible students from registrar, etc

2- Request list of parent's names and addresses for letter from dean to parents

3- Submit Report of Eligibility online.

          - ENTIRE top 1/5 of seniors and top 1/8 of juniors MUST be listed, including members!

          - Indicate whether students are members or were previously elected - NOT both

4- Send orientation invitation letter and information brochure to eligible candidates

5- Mail letter from dean and information brochure to parents of candidates

6- Order any candidate materials you may need.

3rd Week

1- Conduct orientation meeting (show video, CD, PowerPoint show, distribute brochures)

2- Follow up with students who do not attend orientation!

3- Follow up with students who do not respond!

4- Receive eligibility acknowledgment email from Headquarters

5- Mail Report of Eligibility for graduate students or eminent engineers

           - Graduate,alumni,and eminent engineer reports must be mailed

6- Make sure eligibility acknowledgment has been received before holding election

4th Week

1- Begin candidate character evaluations

2- Begin candidate participation in projects

5th , 6th and 7th Week

1- Continue candidate character evaluations

2- Continue candidate participation in projects

8th Week

1- Hold election meeting

2- Invite members to initiation

3- Hold meeting of electees (distribute electee materials)

4- Submit Report of Election and E-cards

          - Indicate whether student was elected or rejected

          - If elected - whether student accepted or refused

          - Use proper code for rejections or refusals!

5- Include email addresses in online information

6- Mail Catalog Cards to Headquarters

7- Keys and certificates are ordered ONLY after Catalog Cards are received!
          - Allow 3 weeks for delivery of keys and certificates.

          - Send letter to all candidates

          - Follow up with students who do not respond to election invitation!

          - Continue candidate character evaluations

          - Continue electee participation in projects

9th Week

1- Receive initiation approval by email from Headquarters!

2- This is an ABSOLUTE constitutional requirement

3- Failure to obtain approval can result in probation!

4- CALL Headquarters if approval has not arrived!
          - DO NOT wait until the last minute

          - Approval MUST come from Headquarters

          - DO NOT initiate anyone without approval!!

5- Continue electee participation in projects

6- Remind District Director(s), advisors, and dean to attend initiation

11th Week

1- Hold electee meeting

2- Continue electee participation in projects

3- Obtain ribbon for keys

12th Week

1- Choose and notify initiation team

2- Check Ritual and initiation equipment
          - Check that equipment is in safe working order

3- Call Headquarters for help with repairs or replacement

4- Hold initiation rehearsal
